About Zeak
9 questionsResults. We own the completed process: the workflow, the connections, the controls and the measured outcome. AI is one ingredient, used only where it improves the result.
No. Many are solved with connected data, clear rules and a governed workflow. We recommend the mix of process change, configuration, integration, automation and AI that fits the outcome, and we tell you which is which before we build anything.
No. Zeak works with the systems you already run and changes them only where you approve it. Wrap first; replace later, if ever.
Zeak builds and runs secure enterprise applications, workflows and AI agents in your own cloud. We take responsibility for a completed business process and its results, rather than handing you another tool to operate.
Supplier Intelligence, New Product Creation, iQM Quality Management and Manufacturing Ops. If your problem is something else, bring it to us: it’s built on the same platform, with the same security and approach.
No. They’re starting points, not the edge of the platform. We add solutions regularly, and what gets built next can be defined by your problem.
No. Zeak is configured around your processes, systems and controls, regulated or not. Most companies span more than one industry anyway.
Zeak is built by XcelPros. Our co-founders have each spent more than 25 years leading SAP, Oracle, Microsoft Dynamics and other enterprise programs, beginning at Accenture and Oracle, and have shipped software products proven in regulated industries. The people who build Zeak are the people who deliver it.
A customization is a project, then a product you maintain and retest at every ERP update. Zeak is configured rather than coded, sits outside your ERP code, and runs alongside your process from the start.
Results and economics
7 questionsBoth, and growth is often the bigger prize. Faster launches, more reliable supply and quicker quality releases help you win and keep customers. Lower cost to deliver the same work follows from the same changes.
We don’t build business cases on layoffs; they’re an uncertain foundation and they rarely show up as promised. We measure hours returned, work absorbed without new hires, errors avoided and cycle time, and your leaders decide how to use the capacity.
No. Zeak takes the retyping, chasing and searching; your people spend the time on decisions, exceptions and customers. Every important decision stays with a person.
Against a baseline your Finance team agrees before anything changes. Each benefit is counted once, net of cost, and marked estimated until Finance confirms it in actual results.
The total cost of delivering the outcome: software, cloud and model usage, integration, human review, exceptions, rework and support. A result only counts if it beats that total.
Yes, when the routine work is connected and governed. Small specialist teams can take on more volume and more complex work without adding the same headcount.
Only results measured with a customer, and only with their permission. We don’t use illustrative savings figures as claims.
Getting started and pilots
12 questionsIn Scope and Define we agree the baseline, target and costs. In Validate we measure the result against that baseline, and go-live is decided on the evidence.
With a conversation about one business problem. From there we follow five steps: Scope, Define, Build, Validate, and Launch & expand. You decide at each step whether to continue.
Scope: select a focused problem and name the accountable owner. Define: agree how people, systems and AI work together, with a baseline and acceptance criteria. Build: connect the systems and build the solution. Validate: test representative cases and measure the result against the baseline. Launch & expand: approve rollout, set monitoring and support, and pick the next opportunity.
A short, fixed-scope project that tests whether an AI or automation approach works on your own data and process, before you commit to a full build. You get the findings, the measured result and a recommendation, whatever the answer.
It depends on the problem. The most complex take weeks; most take less. We agree a specific plan with you in Scope and Define, before anything is built.
For selected opportunities, Zeak co-invests in a focused pilot so you can see the value on your own data before a broader commitment. Your proposal sets out exactly what’s included.
A named business owner, access to the systems and data involved, a Finance contact for the baseline, and a few people who do the work for short reviews. We bring the build, the connections and the plan.
Only when you decide. Your team uses it on real cases in a test environment first, and it goes into production at the pace you choose.
It stops there, and that’s a legitimate outcome. Your process never stopped running, and your records export in open formats.
Yes. We clean and reconcile the data for the one problem we start with, as part of the work, and show you what we found.
No. We bring the engineering, connections and operations. Your team brings the knowledge of the process, and we hand over skills and documentation when you want to take more on yourselves.
Yes. Start with one so the connections and security are proven, then run others in parallel on the same foundation. Each starts faster than the last.
Managed processes
5 questionsYes. For a defined process, such as new item setup, supplier onboarding, quality event intake or invoice exceptions, we can run the work under an agreed service level, with your people approving what matters.
Volume, turnaround time, accuracy, escalation rules and reporting, agreed before we start and reviewed with your business owner on a shared scorecard.
You do, for the decisions that matter. We own running the process reliably; your named approvers keep authority over approvals, releases and anything with regulatory or financial impact.
Usually a base fee for reliable capacity, with performance-linked fees only where the result can be clearly attributed and measured.
Yes. Documentation, configuration and training are part of the agreement, and everything exports in open formats.
Advisory
19 questionsEngaging with Zeak
Yes. A roadmap, technology evaluation, program health check or PMO engagement can stand on its own. You can also engage Zeak across the full journey, with scope and checkpoints agreed at the outset.
The deliverables depend on the scope. They may include a prioritized roadmap, future-state design, technology comparison, program assessment, corrective-action plan or delivery structure, with owners and decision points.
It depends on scope. Focused assessments and program health checks are typically measured in weeks, not months, and the timeline is agreed in the proposal.
Yes, on Dynamics 365, SAP, Oracle, NetSuite or another platform. We review scope, progress, governance, resources, dependencies, risks and business alignment, then recommend practical actions to improve delivery.
Yes. We agree responsibilities, decision rights and dependencies so business teams, IT and implementation partners work to one coordinated plan.
PMO leadership establishes the delivery structure: planning, governance, reporting, resource coordination and escalation. Project execution and delivery leads the work itself, aligning teams and partners, managing dependencies and coordinating delivery against the plan. You can engage for either service or combine them.
No. We can start with business priorities, process performance, growth opportunities or a new service. Technology evaluation follows where it can help achieve the agreed outcome.
Yes. We assess customer needs, differentiation, delivery capability and economics. A focused evaluation can test the opportunity before a larger investment. Market-share gains are an objective to test, not a guaranteed result.
Value, technology and AI
We compare options against your requirements, including functionality, scalability, cost, implementation effort, integration and long-term fit. We explain the rationale and tradeoffs behind the recommendation.
No. Advisory can stand on its own, and not every problem needs AI. We assess existing systems and available options against your priorities. Any proposed Zeak licensing is explained separately, and AI is used only where it fits.
We agree a specific workflow, test cases, success measures, budget and decision point. We assess quality, failure handling, supervision, integration and total cost, then recommend whether to proceed, revise or stop.
We agree deliverables, checkpoints, a baseline, target, data source and accountable owner. Measures may include delivery performance, cycle time, margin, cash flow, service quality or adoption, alongside operating costs.
No. We assess revenue potential, service quality, capacity, cycle time and delivery cost. Small specialist teams may gain capacity or competitiveness. We do not assume whole departments can be replaced or that layoffs are required for value.
We review acceptance measures, reliability, exception handling, permissions, responsible owners and support costs. The operating model and escalation path must be ready alongside the solution.
Control, security and support
Within the agreed scope, Zeak coordinates the work from input through to accepted output, with named owners, exception handling and performance reviews. We define dependencies and responsibilities explicitly; your business retains approval and decision authority.
Solutions run in your own cloud environment under your access policies, with role-based permissions, audit trails and managed DevOps.
You retain authority over business priorities, funding, approvals and business decisions. Documentation, training, access, transition deliverables, intellectual-property rights and licensing are defined in the agreement.
Yes, where included in the engagement. We agree service coverage, monitoring, escalation, operating responsibilities and improvement reviews before launch.
Yes. A fixed-scope project or paid evaluation can lead to a retainer or agreed operating support. Each commitment has its own deliverables, coverage, fees and review points.
Supplier Intelligence
16 questionsIt joins supplier, purchasing, quality and contract data from any system you run, and shows where you’re paying more than you agreed, which supplier could stop you, and what to do about it, with a person approving every decision.
Stopping price leakage against contracts, recovering what suppliers owe, protecting revenue from late supply, buying on total cost rather than unit price, and releasing cash through better terms. Each is measured on your own data.
No. Zeak isn’t a purchasing, invoicing or sourcing-event tool. It connects the systems you have and improves the decisions that cross them.
Microsoft Dynamics 365, SAP, Oracle, NetSuite, Infor, Epicor, Coupa, SAP Ariba, quality and lab systems, data warehouses and custom systems. It can also run standalone with its own supplier records.
Yes. A plant on one ERP, a distribution center on another and an acquired business on a third can all show up in one supplier picture.
Yes. It tracks the specifications, samples, documents and audits needed to approve a second source, while your quality team keeps approval authority.
One supplier profile instead of five systems, one approval queue with the evidence attached, and alerts that link straight to the record.
Every saving has a published formula and a source in your data. Savings are counted once, net of cost, and marked estimated until Finance confirms them.
Only what someone approved, and only when you switch it on. Write-back is enabled one object at a time.
One category, one decision owner and one measure Finance agrees, such as a category under price pressure, a sole-source critical material, or contracts with index-linked pricing.
You own your data. Zeak runs in your cloud environment, so supplier data stays under your control. Ownership of configuration and enhancements is set out in your agreement.
Only what you choose to share. Supplier access is role-based and limited to each supplier’s own records, such as their documents, orders, scorecards and corrective actions, and is phased in your proposal.
You can see every formula and the source data behind it. You set targets, RFQ scoring weights and rule autonomy yourself; scoring and risk models tailored to your company can be added as an enhancement.
Yes. We personalize Supplier Intelligence to match your business and organization. Custom enhancements to an existing application are delivered as time-and-materials services, approved by you before work begins. If you need a completely new solution, we evaluate it with you and can deliver it at time and materials, fixed cost, or a hybrid of time and materials and outcome-based pricing. We’ll explore every option with you.
Yes. Regulated industries are where our team has spent decades. Qualification status, certificates, lot traceability and change-control evidence are part of supplier decisions, and validation is designed with your Quality team for each regulated use case.
Yes. Supplier-owned stock, consignment terms, consumption-based settlement, replenishment targets and reconciliation are managed alongside your own inventory, configured to your sites and suppliers.
New Product Creation
20 questionsIt takes a new product request from anyone in your company and carries it, with the right approvals and a full audit trail, to a correctly set-up product in your ERP. Every area works in parallel, starting from the products you’ve already built.
Anyone you allow: sales, finance, engineering or any other department, with specifications, artwork and certificates attached.
It compares the request with products you’ve already created, using their attributes, descriptions and documents, and shows the closest matches with how each was set up.
Yes. Start from the closest existing product, review what carries over, change what doesn’t, and approve.
No. Zeak can build the finished record while your team creates the item, prepare an entry a person reviews and commits, or write the product directly for the product types you choose.
Zeak reads the created item back from the ERP and compares it with the approved record. Any difference is flagged and logged.
Yes. Approval routing, segregation of duties, access control, an append-only record and ERP reconciliation are built in. Compliance remains your organization’s obligation; Zeak produces the evidence.
Keep it. Zeak sits alongside and adds what it doesn’t do: reuse of similar products, suggested setup values, and one audit-ready record from request to verified item.
No. It removes retyping and chasing. Your team reviews, decides and approves.
Your data warehouse, your documents, and any platform you use today to track product creation, such as SharePoint, forms, spreadsheets, email, or ticketing and product tools. It builds the final record from all of them.
Microsoft Dynamics 365, SAP, Oracle and NetSuite, among others. We’ll confirm the details of your setup in the first conversation.
Yes, and many teams will. Zeak reads from your sources and builds the record. Nothing is written to your ERP until you decide it should be.
Yes. As your confidence grows, you can choose what to automate, by product type, field group, or step, and keep the rest with your team. You can move back toward less automation at any time.
Every suggestion shows its reasoning and its source, and a person accepts, changes or rejects it before anything is final. Low-confidence suggestions are marked, and where there is no basis for a suggestion, Zeak says so instead of guessing.
You set the roles. Zeak prevents one person from holding more than one of them on the same request (for example, requester and approver), and logs any attempt.
The record is append-only: changes are added, not overwritten, so history stays intact. Retention periods are configurable.
Teams in regulated industries often start with Zeak reading and advising, with a person approving each step. Signature and record controls, and validation documentation, can be configured to support your regulations; starting read-only can reduce validation scope.
No. New Product Creation is being built now, on the Zeak platform. Features are delivered in releases, starting with the read-only foundation, and the order is agreed in your proposal. The pilot uses the first release.
How much depends on your process, so we don’t promise a figure up front. We measure your current cycle time and effort first, and show you the difference against that baseline.
Weeks, not months. We’ll give you a specific plan before we start.
iQM Quality Management
9 questionsiQM runs your quality processes on the orders, batches, lots and suppliers they affect: deviations, complaints, CAPA, change control, risk, samples and tasks, standalone or connected to your systems.
No. It works alongside it. Where your ERP has quality orders or inspection, iQM uses them and adds the processes around them.
Yes. Forms, routing, signatures and due dates are configured by product category, transaction type, site and severity, without code.
The context is already on the record: batch, order, supplier and SOP revision filled in from your systems, with one task list across every team.
No. It serves pharma and medical devices, and also semiconductors, aerospace, automotive, distribution and general manufacturing, with the right rigor for each site.
Compliance comes from a validated system used under your procedures. iQM provides an audit trail on every transaction, electronic signatures with a recorded meaning, data-integrity controls and validation documentation.
Through configuration: FDA 21 CFR Part 11, EU GMP Annex 11, ALCOA+, ISO 9001, ISO 13485 and QMSR, ICH Q9 and Q10, ISO 14971, IATF 16949, AS9100, FSMA, ISO 22716, SOX and J-SOX. Applicability depends on your industry and markets; this isn’t a claim of certification.
No. AI can suggest; it never approves, closes or signs a quality record.
No. iQM connects to your lab, document and training systems rather than replacing them.
Manufacturing Ops
7 questionsIt brings production planning, scheduling, maintenance, workforce and training together in one view, connected to your ERP, so plans keep up with what’s really happening on the floor.
Production planning with drag-and-drop scheduling, maintenance, workforce and shift planning, training records and resource profiles.
No. Any schedule or calendar change is confirmed by a person before it becomes final, and some approvals can require a second sign-off, configured in settings.
No. It works with the ERP and plant systems you run, reading what they hold and writing back only what you approve.
Training records and resource profiles sit with the schedule, so you can see who is qualified for each job before you assign it.
Process and discrete manufacturing, from a single site to several plants on different systems.
Usually with one plant or one line, one owner and a measure such as schedule adherence or unplanned downtime, agreed before anything changes.
Security, DevOps and control
10 questionsIn your own cloud environment on AWS, Azure or GCP, under your identity, access and retention controls.
A named person, never the model. Every recommendation shows its evidence, and your reviewer accepts, modifies or rejects it.
Zeak is deployed with SOC 2, ISO 27001 and GDPR controls, identity and access management through your identity provider, and full auditability. Security documentation is available on request.
You decide. Access runs through your identity provider, with roles, data access rules and field masking set with your IT team.
As versioned releases, tested in your test environment first and approved by you. Releases can be rolled back.
Nothing changes without a person’s approval, and we test with representative cases during Validate, before anything goes live.
Monitoring, exception queues and regular reviews of accuracy and drift, with a named owner who escalates and fixes issues under agreed terms.
An append-only audit trail on every action: who, what, when and why, ready to export when your auditors ask.
No. Every record, file, audit entry and setting exports in open formats at any time.
Validation scope follows what you put live, and validation documentation is available for regulated environments, aligned with your quality system.
Private equity and portfolio companies
3 questionsYes. One platform can serve portfolio companies on different ERPs, so a solution proven in one company can be repeated in the next.
Yes. Advisory can assess process and systems opportunities during diligence, and after close we connect acquired systems so the integration plan stays on schedule.
Each initiative has a baseline, an owner and a measure Finance agrees, so results can be reported company by company and across the portfolio.
Working together
5 questionsFixed-scope projects with recurring support, a retainer or per-project fees, or a paid evaluation to test an approach before a full build. Where results can be clearly attributed, part of the fee can be linked to the outcome, and for selected opportunities Zeak can co-invest in a focused pilot.
We agree the baseline, how results are attributed, the measurement period and fee limits before work starts. A base fee plus an outcome-linked portion is the usual structure.
Yes. We can own the running process after launch: monitoring, support, escalation and improvement under agreed terms, with handover to your team when you’re ready.
One team: a named engagement leader, a support desk for functional and connector questions, and engineering for fixes, with releases tested in your test environment first.
A standard services agreement, a statement of work with scope, deliverables, service levels and fees, and your security review. Platform, cloud and model usage costs are itemized in the proposal.
